Step-by-step guide for manual task creation

Solar Staff offers three ways to assign tasks to freelancers:

Step-by-step instructions

1. Creating a new task

In the Tasks section, click the +Create button and select Regenerate.

2. Selecting a contractor and task parameters

Select a Contractor from the dropdown list.

If the freelancer isn’t on the list yet, send them a team invitation via email first, then select them from the dropdown. The list displays each contractor’s tax status (searchable), which affects commission rates according to the fee schedule.

Important! You can create a task even if the contractor hasn’t yet signed up for Solar Staff.

Task group – an optional field. Leave it empty or select an appropriate group. For more information about task groups, see here.

Set the task Deadline to specify when it should be completed.

Important! You can select any date starting from the day after task creation.

3. Selecting work category

From the Category menu, select the type of work or service that matches your assignment.

This field does not appear in reporting documents.

Solar Staff’s catalog includes more than 20 categories of work/services (updated regularly)

For this example, let’s say you’ve selected internet advertising.

IMPORTANT!

For internet advertising services tasks, you must specify the target market.

When creating tasks for the Russian market, advertising labels are required by law.

You must identify as either the end advertiser or an intermediary (for example, an advertising agency). Select the role that matches your situation.

If you are the end advertiser: provide your contract details (number and date) and your company information – name, tax ID number (INN), and Business Registration Number (OGRN). Click the “+” icon next to each field to open the form:

If you are an intermediary: fill in all required fields.

If necessary, add other intermediaries in the chain between you and the end advertiser. Include only those who are your direct clients by clicking the “+” icon.

Freelancers working on internet advertising tasks must complete mandatory verification, add their tax ID number (INN), and link their phone number to their profile.

4. Selecting service type

In the Service name field, choose the specific service that corresponds to the assignment.

This field does not appear in reporting documents

For our example, let’s select 2D-design of character.

5. Legal formulation of the service

Service name in certificate – a legally correct formulation that fills in automatically.

This field appears in reporting documents.

Note: In Solar Staff, completion certificates are sometimes referred to as “acts”.

6. Filling in task attributes

Enter the values for Attributes in the corresponding fields.

Each service comes with measurable parameters (attributes) that specify the task details.

Attribute names and values appear in reporting documents. Filling in at least one attribute is mandatory.

7. Additional parameters

Mark any necessary options in the checkbox block:

  • Task requires IP rights assignment – check if the task involves transfer of intellectual property rights. The contractor will need to attach their work result (as a file or link)

  • Need report – check if you need the contractor to submit a report file

  • NDA – check if the contractor needs to agree to non-disclosure. To add this or other consent documents, contact us via chat

Click Continue when ready.

8. Task description for the contractor

Provide a Task name and write a detailed Task description.

These fields help explain the assignment to your contractor. They do not appear in reporting documents and are visible only to you and the contractor.

Attach any files the contractor should access when receiving the task.

Click Continue to proceed.

9. Determining the cost

In the Task price field, specify the net amount the contractor will receive.

Important! Tasks can only be created in the currency of your balance. The total (including the Solar Staff fee) calculates automatically. To learn more about the fee, contact us via chat.

Important! The payment amount shouldn’t exceed the annual limit of the contractor’s tax status:

  • Self-employed – RUB 2,400,000

  • Individual Entrepreneur – RUB 200,000,000

  • Verified individuals – no limits

You have the option to redistribute the platform fee by shifting 1% from your fee to the contractor's fee. This lowers your cost while adding 1% on the contractor's end. For example, with a task amount of EUR 1,000, the contractor would receive EUR 990 (with the 1% fee applied on their side).

Note that Solar Staff uses an escrow-like secure deal mechanism guaranteeing contractors receive payment for completed work, even if clients don’t pay for accepted tasks promptly. Read more about this here.

10. Completing task creation

Click Create task. The task won’t be created if any required fields remain unfilled.

11. Tracking task status

Your created task appears in the task list with the status New.

12. Contractor notification

The contractor automatically receives an email notification about the new task. They need to accept the task, complete it, and mark it as finished.

13. Reviewing and accepting the work

After the contractor completes the work, the task changes to Client review status. You can accept the task or return it for revision. Accepting the task commits you to payment within 60 days.

For easier task management, customize your task list columns by clicking “Columns”, selecting your preferred values, and clicking “Save”.

You can configure the column view by clicking Columns in the upper-right corner of the task table.
